What does my trip include?

• Per T&E Guidelines: Airport transportation to/from your home or office, (1) checked bag per person, and meals while in transit to President’s Club will be covered. Please check the T&E Guidelines for more information.
• Round-trip economy airfare from your home airport to I Gusti Ngurah Rai International Airport for you and one adult guest (21 years old and over). Booking requests will be made during the registration process, and our travel team will work with you to book your air travel.
• Transportation for you and one (1) guest from I Gusti Ngurah Rai International Airport to Ritz-Carlton Bali on Tuesday, November 3. International travelers who are unable to arrive before 5:00 PM on Tuesday, November 3 due to flight schedules will receive transportation on Monday, November 2.Note transportation is not provided if you choose to arrive early for personal travel. 
• Hotel accommodations, housekeeping gratuities, and porterage at your hotel from Tuesday, November 3 through Saturday, November 7. International travelers who are unable to arrive before 5:00 PM on Tuesday, November 3 will receive hotel accommodations, housekeeping gratuities, and porterage at the hotel on Monday, November 2.
• One (1) hosted activity for you and your guest on Wednesday, November 4 or Friday, November 6
• Transportation from Ritz-Carlton Bali to I Gusti Ngurah Rai International Airport on Saturday, November 7.
• Breakfast, lunch, and dinner as outlined in the agenda.
• Group events as outlined in the agenda

Any expenses other than those listed above are the qualifier’s personal responsibility. Such expenses include, but are not limited to, baggage fees over one (1) checked piece of luggage per person, seat assignments, hotel incidental expenses, additional activities, and additional meals.

What is not included in the program?

Expenses other than those listed in the program inclusions are the qualifier’s personal responsibility. They cannot be expensed. Such expenses include, but are not limited to:

• Additional checked baggage/luggage fees - Palo Alto Networks will cover one (1) bag per person
• Seat assignments
• Transportation to or from other resorts
• Car rental expenses
• Hotel incidental expenses
• Hotel cancellation costs, if incurred for reservations made outside of club dates
• Additional activities and meals not listed in the agenda
• Room service and mini bar

May I bring a guest?

Guests must be 21 years of age and cannot be Palo Alto Networks employees (unless in a committed and disclosed personal relationship.)

May I bring children or additional guests?

Children or additional guests are prohibited from participating, even if you wish to pay for their participation, due to liability reasons. There are no exceptions. Only your primary guest, 21 years of age or older, may attend the President's Club. 

Do I get to go on the trip regardless of my employment status? 

President’s Club attendance is discretionary and not guaranteed or a promise of future employment. To be eligible to attend, you must be an active employee in good standing at the time the President’s Club commences. Employees who are on garden leave, serving a notice period, or otherwise leaving the company for any reason at the time of the event are ineligible to attend.

Additionally, any attendee who voluntarily terminates their employment with Palo Alto Networks within six (6) months following the event will be required to reimburse the Company for all associated costs.

What happens in the event of an emergency? Will the trip be canceled? 

While we plan carefully to ensure the President’s Club trip runs smoothly, unforeseen circumstances such as severe weather, health concerns, or other global events may impact travel plans. As the travel dates approach, our team will closely monitor conditions and assess any potential impact to the program.

Should circumstances arise that require changes to the trip, our experienced team will work closely with the appropriate partners and stakeholders to determine the best course of action and communicate any updates as quickly as possible.

If I choose not to go on the trip, will I get equal cash and gifts?

No, if you choose not to attend or cannot attend Club for personal reasons, there will not be any other gifts or prizes as an alternative.

Will I have to take vacation days from work in order to attend?

No, you will not need to take vacation time.

Are there any tax implications associated with taking the trip? 

Due to the fact that participation in the President’s Club is considered to be a reward, some countries require that the value of the entire trip (airfare, lodging, meals, etc.) for you and your guest be taxable to you. This means that depending on where you’re located, Palo Alto Networks must add the value of your President’s Club trip to your income under “benefit in kind” tax principles.

If you reside in a country where this is applicable, we will calculate an approximation of your tax liability based on both the allowable tax regulations in your country (e.g. the supplemental tax rate in the U.S.) and your year-to-date taxable earnings with Palo Alto Networks in that category.  We will then issue you a gross-up payment to cover the calculated amount.

Please note that this calculation is offered as a courtesy, and it may or may not cover all taxes in all cases, depending on an employee’s personal tax situation. You, as the employee, are responsible for any taxes that are not accounted for in this gross-up payment, and under no circumstances will the calculations be adjusted on an individual basis beyond what is described above.  We recommend you consult with your personal tax advisor regarding any other calculations that may be required as a result of your participation in the President’s Club.

What will the weather be like in Bali?

November brings warm, tropical weather to Bali, with daytime temperatures typically around 28–32°C and balmy evenings around 22–25°C. Humidity is high, so lightweight, breathable clothing is recommended.

You may experience the occasional tropical shower. Rain is often short and heavy rather than lasting all day, with plenty of warm, sunny weather in between.

What should I wear during the program?

Suggested attire is comfortable and casual, and evening functions are planned for your relaxation and enjoyment. Resort casual attire is appropriate for the planned events.

Resort casual:

• Button down, short-sleeve shirts
• Bermuda shorts, capri pants, light weight slacks
• Sundresses or skirts

How do I book my travel?

We urge you to register as soon as possible to obtain the best flights and times. All domestic and international air itineraries must be ticketed through the President’s Club official travel partner - Take2Eton. Any tickets booked outside this process are not reimbursable.  

Based on the information you provide on your registration form, please note the following:

• A proposed itinerary will be emailed to you within 72 business hours of submitting your registration. 
• The Palo Alto Events Team at Take2Eton will reach out within 48 hours to acknowledge receipt of your registration.
• Take2Eton will review your request and provide arrangements in accordance with President’s Club Travel Policy while doing their best to accommodate your preferences.
• Upon receipt of your proposed travel itinerary, you will have 24 hours to review your proposed itinerary and replay. Check dates, Travel ID names, and airport names for accuracy. Reply to the email with any changes or approval.  
• Once approved, your itinerary is ticketed. Please be aware that once ticketing has been arranged, there may be charges for any changes. If either your original or changed itinerary includes personal travel or extended stays, or if the changed itinerary (for personal reasons) incurs additional fees or penalty, you will be asked for a credit card to cover the incremental costs.

May I extend my stay?

Yes, you can extend your stay at the resort based on availability. Make sure you identify yourself as a Palo Alto Networks President’s Club attendee to qualify for our group rate when you contact the hotel. Please note that any costs incurred outside of what's provided as part of the event will be at your own expense. This includes additional hotel room nights, resort fees, food and beverages, room service charges, etc.

If you choose to extend your stay, please be aware that the room type you will be assigned to might differ from those booked outside of the event dates. This may require you to switch rooms during President’s Club dates.

You can cancel your extended reservation free of charge up to seven (7) days before arrival; cancellations made within seven (7) days of arrival may incur a cancellation penalty. All extension requests are subject to space availability and will be at your own expense. Both an extension request and cancellation of your extended reservation must be made directly with the hotel and is your responsibility.

NOTE: We do our best to accommodate your room type and special requests. However, all requests are subject to availability and cannot be guaranteed.

Registration, Travel & Hotel Cancellation

If you are no longer able to attend, please notify us by Wednesday, September 30 by emailing our customer support team at presidentsclubJAPAC@lunaeventgroup.com.au. The team will handle canceling your registration along with any Club-hosted travel and hotel accommodations.

Note: You are responsible for directly canceling any personal pre- or post-event travel or hotel rooms you booked on your own. 

What type of documents do I need to enter Indonesia?

Each International qualifier and guest will need:

1. A valid, undamaged passport with at least 6 months of validity remaining from your planned date of departure from Indonesia, plus at least one blank page.
2. A confirmed return flight ticket or an onward ticket to another country.

Will I need a Visa to enter Indonesia?

Most passports will require a Visa on Arrival (VoA) unless you hold an APEC Business Travel Card. Please check your specific requirements on the Indonesian e-Visa Website and apply for the VoA before you arrive or apply for Visa Exemption if you don’t require a visa.

All international travellers will also have to complete the Indonesia Arrival Card & pay the Tourist Levy before arriving in Indonesia
